- Go to /admin/reservations and use the New menu, then New reservation.
- Pick the customer. If they are new, create the contact inline — you can flag them VIP or tax exempt now or later.
- Choose the service type and vehicle type.
- Enter the pickup and drop-off. Start typing and pick from the suggestions so the addresses geocode properly — that is what drives the distance and the fare.
- Add passengers, luggage, and any extra stops.
- Check the fare. It calculates live from your rates as you fill the form. Override it if you have agreed a different number.
- Add any extras or a promo code.
- Set how they are paying, then save.
The trip lands in Pending. Confirming it is what triggers the customer's confirmation email and, if you use pre-trip payment, the card hold or charge.
Faster ways in
- Duplicate — open an existing trip and duplicate it. The quickest way to build a return leg or a repeat run.
- Recurring — for a customer who travels the same route on a schedule, set up a recurring template instead of rebooking by hand.
- Booking groups — for a wedding or a roadshow, group the trips so you can see and manage them as one event.
- Waitlist — when you are full, log the request at /admin/waitlist and convert it to a reservation if a vehicle frees up.
